UPDATES:

Library Lookups

In our ongoing efforts to maintain the public library and make it easier to use, we have made a couple of changes.

  1. When looking up a lawyer or notary, the name of the firm will now be displayed directly to the right of the individual’s name.
  2. Many lawyer and notary firms have offices in more than one location. We refer to this as “branch offices”. When looking up a lawyer or notary at a firm that has branch offices, you will now see the words multiple addresses available where the address would normally be displayed. Once you select the lawyer or notary, you will be presented with a list of available branches to choose from. Selecting the appropriate branch will ensure all correspondence is directed to the correct address.

Multiple Lenders On One Mortgage

It is now simpler than ever to create a mortgage with multiple lenders. Save & New Individual Lender and Save & New Corporate Lender links have been added to the individual and corporate lender screens. The copy address feature has also been added.

Guarantors

The copy address feature has been added to the guarantor screen when using the Save & New Individual Guarantor and Save & New Corporate Guarantor links.

GST on Purchase Price Editable

Some of you have indicated there are circumstances where the  GST and GST rebate on the purchase price must be edited by you. These fields are now editable. If edits are made, the calculation preview will set out that the user has altered the calculations completed by econveyance.

Number of Files Displayed on File List

In a recent update, we added the ability for you to set the number of files that appear per page on your file lists. We received feedback that you would like the option to set this permanently. To facilitate this we have added an option to the User profile called Default Rows Per Page for File List. Each time you access your file list, the number of files displayed will be based upon this setting.

Transfer and Mortgage Registration Tabs

Many of you may not be aware that it is not necessary to complete the transfer and mortgage registration dates if these dates are the same as the completion date on your file. As a reminder of this, we have added the words “if different than completion date” to these fields.

Strata Management Companies

It seems that more and more real estate companies are also strata management companies. When using the library to look up a strata management company, both real estate and strata management companies that match your search criteria will be displayed.

BUG FIXES:

The following bugs have now been resolved:

  • Duplicate entries on accounting documents
  • Entering a file from the file list or search results was not displaying the transaction screen in edit mode
  • Lender name not appearing on file list or in current file section

DID YOU KNOW that you can use any one of three supported web browsers to access econveyancePro!

What’s a web browser you ask? A web browser is the program that you use to access the internet – the better your browser, the better your experience. Your internet browser should help you surf fast and efficiently. While the speed of your computer and internet connection account for most of the speed, not all browsers are created equal in how fast they startup and process HTML and JavaScript. The best browsers will open websites quickly and properly.

Many of us use Microsoft Internet Explorer, possibly because it came installed on our computers! There are other choices. Mozilla Firefox 3.x (download) and Google Chrome 3 (download) are both supported by the very helpful desk.  We have heard varying reports from our users, some saying that Chrome is by far the fastest and others who feel that Firefox is the fastest. There are numerous articles available on the internet that compare browser speed and will assist you in making your choice (search for ‘browser speed’).  If you find browsing the internet slow, you may want to consider trying a different browser.

UPDATES:

  •  Would you like to receive a warning if you open a new file using a file number that already exists in econveyance? We have added an option to the company profile called Warn Users When Duplicate File Number Entered. If this option is selected, you will receive a prompt warning you when opening new files using an existing file number.  You can choose to continue to open the file using the same file number or cancel the file opening process.
    Note:  You will receive the warning message for exact matches only.
  • You can now add to the library on the fly!  We have added a link to the buyer, seller and borrower screens called “Add to the Library”. This link allows you to add the buyer, seller or borrower to your private library without leaving the screen.
  • We discovered lately that some of you can double click – really really fast! Double clicking is not required anywhere in econveyancePro and was causing files to be duplicated on opening and incorrect behavior in document generation. We have made some changes to stop this from happening.
  • Many of you have indicated that it is important that your account to your client appear as the last item on the Buyer Statement of Adjustments and Orders to Pay. We have made the necessary changes to facilitate this.
  • Project master files will display the master designation more clearly on the file list as well as display the word Master  in red font on all screen headings once inside the file.

 
BUG FIXES:

The following bugs have now been resolved:

  • Selecting documents from multiple pages in the Documents table will now move all selected documents to the Selected Documents table. 
  • Library records created that contained apostrophe’s will now appear in your search results. 
  • Closing a file from the file list will leave you on the same page.
  • Files can be selected from multiple pages of the file list for closing.
  • Order to Pay on a sale file will now display excess deposit forwarded to the seller lawyer correctly.

DID YOU KNOW you can change the way econveyancePro behaves in the User, Lawyer/Notary and Company Profiles!

If any of you are receiving errors when accessing the EFS Submission window through econveyance, please call the very helpful desk. 

UPDATES:

  • Would you like to always access the screens in Edit mode? We have added an option to the user profile called Always Open Screens in Edit Mode. If you select this option, each time you click on the Transaction, Seller, Buyer, Borrower, Property and Mortgage menu items the screens will open in edit mode.
  • IT’S BACK!  The New Title Search window now contains a drop down to allow you to select an existing PID to search. We had no idea how widely used this feature was until so many of you let us know you missed it!
  • Would you like to see more files displayed per page on your file list? On the lower right of the file list there is a drop down box that allows you to select how many files to display. The file list will now automatically resize itself based on your selection.
  • To display more entries, we have made the search results box for the library lookups longer. We have also added more space to allow you to easily distinguish between entries.
  • Documents that are not accessible in the file type you are in (shown in gray) will now appear at the bottom of the list of documents that are displayed in the Documents table.
  • At the suggestion of a user, we have changed the Street label on all screens to say Street Address. We hope that this makes it clearer that this field should contain the street number as well as the street name.
  • First Canadian Title now requires that certain questions be answered on all files. Therefore, you will no longer see the summary page that allowed you to skip these questions. Now that these questions must be answered, users should no longer receive phone calls from FCT requesting this information.
  • When the individual lawyer or notary on the other side of your file is not known and you select only a company, the address shown on the letters will now include the company description (ie. Barristers & Solicitors)
  • The date entered in the completion date field will no longer be copied to the transfer registration date and mortgage registration date fields. You only need to complete the transfer registration date and mortgage registration date fields if the date of registration is different than the completion date.  The system will automatically use the completion date if no registration date is entered.

BUG FIXES:

 The following bugs have now been resolved: 

  • Notes will now print in the same format as they are entered.
  • Task emails should no longer be received multiple times. There were a number of different reasons for this and we believe that we have now resolved them all. 
  • Dates entered incorrectly will now display an error message on the screen rather than causing documents to error.
  • Adding and editing private library records should now save correctly and copy the address if applicable.
  • Quotes in a property address will no longer cause the buyer, seller or borrower screens not to save.

Vancouver Community College Joins Software Certification Program

Our parent company OneMove Technologies Inc., which provides a leading web-based real estate transaction platform, today announces it has expanded its econveyance certification training program to include students enrolled in the legal assistant course at Vancouver Community College (“VCC”).

“The integration of the econveyance certification program into the VCC curriculum further demonstrates how our technology platform is becoming the industry standard for conveyance professionals,” said Martin Johnson, President and CEO, OneMove. “With the rate of adoption of firms using our software we are pleased to have the students of VCC be part of this educational initiative providing them with an additional skill set and better preparing them for entry into the British Columbia real estate industry.”

OneMove is already offering its certification program in other colleges within British Columbia, and the Company anticipates that, soon, every graduating student from legal assistant programs throughout the province will want to be “econveyance certified.” The credentials offered through the program equip students with practical experience in the use of econveyance and provides an edge in today’s competitive job market.

Good Morning,

DID YOU KNOW you can change the font or text size in your browser! This will change the way that you view web pages such as econveyancePro.

HOW TO CHANGE THE FONT SIZE OR TEXT SIZE IN FIREFOX BROWSER:
  1. Click on Tools on the browser Menu Bar
  2. Click on the Content Icon in the top menu bar
  3. In the Fonts & Colors section select the font face and size that you prefer
  4. Click OK and you will see a change in the font size on web pages
HOW TO CHANGE THE FONT SIZE OR TEXT SIZE IN INTERNET EXPLORER BROWSER:
  1. Click on View on the browser Menu Bar.
  2. Highlight Text Size with your mouse and notice that you now have 5 text size choices ranging from Largest to Smallest.
  3. Click on the Size you Want and you will see a change in text size on web pages
UPDATES:
  • For greater flexibility in dealing with addresses we have added a “copy address from property” link to the Buyer, Seller and Borrower screens. Clicking this link will copy the address from the first property to the Buyer, Seller or Borrower.
  • Do you have to deal with family transfers? To simplify this we have added a Transaction Type of Family Transfer to a purchase file. If you have selected this transaction type, any charges flagged to be removed by the Buyer Lawyer/Notary will appear on the Buyer Statement of Adjustments tab.  If you prefer not to generate a Statement of Adjustments, an Order to Pay – Family Transfer document is available to you on a purchase file. This document contains all entries that appear on the Buyer Statement of Adjustments tab in accounting.
  • All required fields are now clearly marked with a  red asterisk in edit mode
  • When funds are due to clients, their full names, including middle names will now appear on the Order to Pay and Trust Rec
BUG FIXES:
  • Periods have been added after the items in the Title drop down (eg. Mr. or Mrs.)
  • When downloading documents, if you select the delete after download option, the screen will now refresh immediately to remove the documents
  • On a sale file, the cost to obtain a tax search and a utility search will now reflect correctly on the order to pay
  • Copying a project master file will now copy the notes as well
  • You will no longer be prompted to save your changes when opening a new file after using the search feature on the lawyer/notary file list

DID YOU KNOW that you can find and generate any document available in the system by using the search feature in the All Documents group? You no longer need to put documents into a group!

When you first access the Document Manager, the All Documents group is selected by default. To find any document do the following:

  • Enter your search criteria into the search box located at the bottom of the Documents in Group table on the left hand side of the screen . Note: For a quick reference sheet on key search words click here. This quick reference sheet can be printed and utilized as an ongoing reference.
  • Click the Search button or press your Enter key
  • Only documents that match your search criteria will be displayed in the Documents in Group Table
  • Select the documents you wish to generate and click the single arrow to the right to move these documents into the Selected Documents Table.

Note: You may find it more efficient to search in the All Documents group for lender documents rather than have your own group. The reason is that the All Documents group will always contain all available documents, including any new lender documents that we add to the system. Your own group will not.

UPDATES

  • To faciliate quicker searching, the search box will now be open and available by default on the Documents In Group table in the Document Manager. Also, based on your feedback, the clear button has been changed to a search button. You can either click the search button or press enter to start the search. The contents of the search field will be deleted automatically when you change your group selection. 
  • Many of our users indicated that they needed to be able to edit the way their company is described, ie. Barristers and Solicitors or Barrister and Solicitor. To accommodate this we have added a description field to the company profile. The contents of this description field are utilized in the applicant section of the land title documents. This description field will be completed for your firm by default however you can edit it by going to the profiles, company profile ink.

BUG FIXES:

  • EFS Form C release will now pick up the middle name of individual charge holders 
  • CTIC title insurance order no longer requires that you enter Canada as part of the civic address of the property
  • You should no longer encounter problems when changing lawyers on a file
  • BSOA no longer has a space before the description of each item

OneMove is a success story with the Canadian Government

The National Research Council of Canada (NRC), through the Industrial Research Assistance Program (IRAP), has been very excited about helping OneMove create an electronic process to revolutionize the conveyance procedure within the lawyer/notary office.

OneMove Technologies Inc. has designed the first ever web-based SaaS system that requires no investment from the user community. Nothing … no license fees…. no maintenance costs….. no upgrade costs. Users are provided the system on-demand from any location provided a PC and internet access is available.

A key objective of creating the econveyance platform, very much supported by NRC, was to enable all participants involved in a real estate transaction to reduce the carbon footprint by decreasing paper output. This is not just a noble cause but a collective imperative for future survival.

By moving towards a paperless process, and recognizing that some documents have to be printed, I have tried to predict the savings in terms of paper sheets (8.5” by 11”) that should have been occurred by the use of the econveyance system – for a typical buy/sell transaction:

Since April 2004 to Feb 2009, econveyance has completed approximately 70,000 transactions leading to a potential saving of approximately 5.95 million sheets of paper. This would make approximately 714 trees (1 tree makes 8,333 sheets of virgin copy paper) and if stacked on top of each other as 2” packaged sets of 500 sheets (as they come in boxes of copy paper) would rise to a height of 1,983 ft. That is higher than the CN Tower in central Toronto which is 1,815 ft.

If only half the amount is saved it is still a saving.

Winter Referral Contest Update

Aloha!  It’s already February 20.  That means that the first month of our Winter Referral contest is almost over! Just a little over two months left to do what’s necessary to make sure you get entered to win that trip for two to Hawaii!  All you need to do is tell those non-econveyance users how great you think econveyance is, then call us and we’ll take it from there. 

Want to know an easy way to find out who is and isn’t using econveyance?

On the transaction screen when you are searching the public library for the name of the other lawyer or notary, look to the left of their name and if you see the word Public, that means they haven’t signed on yet! So pick up the phone, call and tell them what you like best about econveyance.  Remember, it’s the econveyance user who provides us with the most referrals that result in a demo that will win that trip!
