MESSAGING takes collaboration to a whole new level!

There’s no doubt we are on to something! Over 65% of you are now connected at the firm level and thousands of files have been shared. The result is enormous time savings. Now you can experience even greater time savings through Messaging – our new feature which enhances the collaboration between connected files.

Type a message, click “post” and seconds later, notice of your message pops up on the recipient’s screen. Not only will it eliminate the lag with e-mail response time but will also cut down on the time spent making phone calls. Messaging is the most efficient way to communicate with the conveyancer and lawyer or notary on the other side of your file. Messages are saved on the file allowing quick and easy reference to any message at any time.

If you like to receive additional notifications, you can choose to receive an email of new messages. Each time a message is sent to you, you not only receive it in econveyance, but you also receive it via email.

The Very Helpful Strata Match Feature – We’ve made a change!

We’re pretty excited about this new feature and how it has allowed us, in just the few weeks it has been available, to be very helpful to you! We are pleased to have provided the name of the strata management company to many of you and you, in turn, have been very generous with your feedback. You told us that it was confusing to have the

button appear only if we had a match for your particular strata plan. The change that we have made means that now, once a strata plan is entered on the Strata screen, the button will appear whether we have a match or not. If we do not have a match, you will be notified as soon as you click the button!

Now Available – Title Search by Title Number! 

We are excited that in addition to the four methods already available to you for conducting a title search in econveyance, you can now also search by title number.

The Title Search link in the file menu bar now has a new option to search by Title Number. The Title Searches screen also has a new Search by Title Number button. The search by Title Number option has all the same great import features and functionality of the other search methods available to you.

The Very Helpful Strata Match Feature

We know from your feedback that when dealing with strata properties, often you are not provided with the name of the Strata Management Company. This results in you spending a great deal of time and effort attempting to reach the sellers, the buyers and the realtors to obtain the information with no success.

As members you already know the power of your collective intelligence and how your feedback drives the evolution of our innovative software solution.

That is why we are pleased to provide a new time saving features in econveyance. You will notice that the strata lot and strata plan numbers now automatically populate the appropriate fields on the Strata screen. More importantly, if you need help finding the Strata Management Company associated with that plan number, click the new Help Me Find the Management Company button and let us do the work for you. We will provide you with the details of the strata management company. Think of the time this will save you!

Beneficial Owner

We’ve been listening! There have been numerous requests for the ability to have a registered owner and a beneficial owner on a file and it’s now available.

We have added an Owner Type field to the seller screen. If your transaction involves a beneficial owner, simply set the Owner Type drop down on the appropriate seller screen. The system will use the sellers identified as registered owners to complete the appropriate Land Title documents and will use the sellers identified as beneficial owners for all other documents. The Owner Type field will default to registered owner so if your Transaction does not involve a beneficial owner, there is nothing for you to do. All documentation will complete with the names of the registered owners when no beneficial owners exist.

Connections – Transfer Registration Number

We are so excited that well over 11,000 firm Connections have been established and that many of you who are Connecting on your files have taken the time to provide us with feedback on this new feature! You recently let us know that when acting for the seller on a Connected file you did not have the ability to complete the Transfer registration details. We have now opened this field to allow either side to enter the information.

BUG FIX

When acting for a lender and preparing the Order to Pay, the words “In Trust” will now appear after the name of the borrower rep.

Beneficial Owner

Adjustment of Lease Payments

We’ve made a change to simplify adjusting for payments made pursuant to a lease. You’ll note that the Rent tab located on the Accounting screen has been renamed Rent/Lease. When entering information for a new rent or lease adjustment, a Type drop down has been added allowing you to indicate what type of adjustment it is. The wording of the description will reflect whatever you have chosen from the drop down.

Bug Fix

Middle names of private lenders will now show in the list of lenders on the Lender & Funding tab as well as in the Lender Name as it will Appear on Mortgage field.

WE’VE MADE A FEW CHANGES!

DISBURSEMENTS AND OTHER CHARGES 

You let us know that the format of our itemized statement of account did not meet the requirements set out by the Law Society of Alberta. After contacting the Law Society to find out exactly what changes were necessary to rectify the situation, we are pleased to report that those changes have now been made to the statement of account generated from econveyance.

The Law Society requirements are that disbursements and other charges be shown separately on the statement of account. In order to accommodate this we have provided you with the ability to identify entries as either a disbursement or other charge resulting in disbursements being grouped together on the Statement of Account, and other charges being grouped together on the Statement of Account.

This change will not affect existing disbursements that have been entered through the Company Profile (more info) or on individual files (more info). You can edit existing entries if you wish to change the type from disbursement to other charge.

CONNECTIONS PENDING TAB ACCEPT ALL BUTTON 

We are definitely on to something! Our members have sent over 40,000 requests to Connect.

With the many requests appearing on your Pending Connections tab, many of you let us know that you wanted a quicker way to accept them all. If you have administrator privileges for your firm, you will now see an Accept All Received Requests button in the lower right of your Pending Connections tab. All Pending Connections received can now easily be accepted with just one click of this button!

Remember, you have to be Connected on the firm level before you can Connect on individual files and start saving time, so you will want to be sure to accept all of your Connection requests.

YOUR OWN BRIEF LEGAL 

Some of you use the brief legal field and others don’t. Because there was only one brief legal field that was controlled by the seller side of the file, when that file was Connected, the buyer side was unable to add or edit the brief legal, meaning their letters were not always generating as they would like. To resolve this, we have added a second brief legal field, so each side will now have their own field. If your firm likes to see a brief legal appear in the re lines of your letters, then be sure to complete this field. If the field is left blank, the full legal description will appear in the letters.

CONNECTIONS PENDING TAB – ACCEPT ALL BUTTON

We are definitely on to something! Our members have sent over 40,000 requests to Connect.

With the many requests appearing on your Connections Pending tab, many of you let us know that you would like a quicker way to accept them all. If you have administrator privileges for your firm, you will now see an Accept All Received Requests button on the lower right of your Pending Connections tab. CONVERTING FILE TYPE:

Some of you let us know that the link Change to Seller – Buyer -Borrower or Lender File located on the Transaction screen was confusing! To make the purpose of the link clearer, we have changed it to read Convert to Seller – Buyer -Borrower or Lender File. The link is used to convert the file type ie. you’ve opened the file as a buyer file, but then find out you are actually acting for the seller AND NOT the buyer.Under these circumstances you would convert the file type by clicking the link. The information that was entered under the Buyer Lawyer/Notary will be moved to the Seller Lawyer/Notary and the file will be converted to a seller file. You are then able to add the appropriate Lawyer/Notary that is representing the buyer.Note: You cannot change a Seller or Buyer file to a Borrower or Lender file. 

CONNECTIONS: 

Many of our members advised that the automatic expiration of a new file notification after 7 days was not enough time, so we have extended it. New file notifications will now be available to you for 30 days from the date they are sent.

MISCELLANEOUS CHANGES:

The year on the pop up calendar found throughout econveyance has now been extended to 2051. 

BUG FIXES:

The following bug fixes have been made:

It was reported to us that if documents were made available to the other side and then subsequently deleted by the sender, the recipient was unable to access the documents. This has now been fixed. If the sender deletes documents from their finalized documents tab after making them available for pick up by the other side, it will not affect the ability of the recipient to pick them up from their econveyance file.

WHAT’S NEW? 

In response to feedback from our members, two new fields have been added to the RPR tab on seller and mortgage files. The fields are Cost to Obtain Compliance Certificate and Cost Charged On. If you incur the cost of a Compliance Certificate on behalf of your client, enter the amount you paid in the Cost to Obtain Compliance Certificate field. From the Cost Charged On field, choose whether you wish the cost to be reflected on the Order & Direction to Pay or Statement of Account. The amount will automatically be displayed on the corresponding tab of the Accounting screen as well as on the document when generated. 

Also in response to feedback from our members, econveyance will now calculate the GST on the Cost to Obtain RPR as well as the Cost to Obtain Title Insurance. Enter the cost you incurred for obtaining the RPR or the Title Insurance policy in the field provided and click the blue Apply GST link. Econveyance will calculate the GST and populate the field. If you prefer to enter the GST into either of these fields yourself, you can still do so.
